Menu selections should be finalized 30 days prior to any event. All food and beverage is subject to a service charge of 18% and a Washington Sales Tax. Washington State Law requires that the service charge be taxed. Service Charge and Washington Sales Tax are subject to change without notice. The sale and service of alcoholic beverages is regulated by the Washington State Liquor Control Board. As a Licensee it is Harborside Catering's policy that liquor or food cannot be brought into or removed from the facility.
A Facility Fee is charged for all wedding ceremonies and receptions. In order to reserve your event date, a $2,000.00 non-refundable deposit is due at the signing of the contract. Deposits and payments may be made in the form of cash, check, or credit card. In addition, 50% of the Food and Beverage Minimum is due three (3) months prior to the event and 100% of the Food and Beverage Minimum is due one (1) month prior to the event. An estimate of the remaining balance for the event will be prepared and is due two (2) weeks prior to the event. A valid credit card number is required and will be held on file. If full payment is not received by the conclusion of the function, this credit card will then be charged for the total amount owed. Any overpayment will be refunded immediately following the event.

Guest Count Guarantees
A guarantee of the number of guests attending wedding functions is required ten (10) business days prior to the event. The Client will be billed for the guaranteed number of guests or the actual number of guests served, whichever is greater. If no number is communicated to Harborside Catering, the Client agrees to pay for the original estimated number or the actual number of guests served, whichever is greater. The guaranteed number of guests may be lower than the estimated number of guests provided Harborside Catering receives the guaranteed number of guests by the guarantee due date. The guaranteed number of guests may not be reduced after the guarantee due date. Dietary substitutions must be requested by the guarantee due date.
Included in Reception Facility Fees:
Set-up, clean-up and tear-down of room, professional and attentive staff, beautiful glassware and white china, white table linens (underlay, overlay and napkins), gift table, guest book table, cake table, and head table. Votive candles are also available upon request. Ceremonies will be charged an additional setup fee.
Two hours of setup and decoration time is offered prior to any event. It may be possible to begin in advance of this 2-hour block for afternoon functions. No décor may be hung from the ceiling and no ladders or lifts of any kind are allowed. No tacks or nails of any sort may be used on the walls. All decorations and personal items must be removed immediately following your event. Harborside Catering and Hotel Bellwether are not responsible for any items left behind. Items will be disposed of by Harborside Catering after a 24 hour time frame. No glitter or confetti is permitted.
Photographs may be taken in any public outdoor areas or within the space the Client has rented, provided the session does not interfere with hotel guests. In addition, all music will be controlled at the discretion of Harborside Catering and the Hotel Bellwether in consideration of our hotel guests.

- Please note that our Bellwether Ballroom is situated across the plaza in the Peter Paulsen Building.
- The area between the Hotel, and the Paulsen Building is owned by the Port of Bellingham. The Hotel Bellwether and Harborside Restaurant & Cocktail Lounge have no control over any events that take place in the Port of Bellingham's area.
